1. Alumni Personal information.

Developing a better understanding of our alumni allows us to keep in touch with you to keep you apprised of our activities and developments in the University, to provide services to you, and to identify ways in which you can actively support the University to realise its mission.

We are committed to protecting your personal information and being transparent about what information we hold.

We may hold information relating to you from several sources. A significant proportion of the information we hold on alumni is that which you provide to us when you signed up as alumni. If you are a student or studied at Zetech University, some of your personal data is transferred from your student record to the University’s alumni database.

We will hold the following information about you:

  • Details of your education
  • Unique personal identifiers for example, student number, date of birth etc.
  • Your contact details
  • Details of your interactions with the University for example, your membership of clubs and societies
  • Your attendance at University events, including any photographs, audio or video recordings
  • Other contact with us or our partners
  • Details of benefits and services provided to you
  • Your relationships with other alumni or supporters of the University.
  • Details about your family where applicable
  • Personal data provided by you for a specific purpose for event management purposes
  • Your channels of communication preferences, to help us provide tailored and relevant communications
  • Your history of donations made to the University
  • Your ability and willingness to make donations towards certain causes.
  • Your career highlights and other life achievements
  • Information about your areas of interest and extra-curricular activities

2. How we use your data

We use your data for a number of interdependent purposes in support of alumni relations, communications and fundraising. These include:

  • Sending you publications and updates about the University in relation to alumni
  • Conducting surveys, including research on when and whether particular donation opportunities or funding appeals may be of interest to you
  • Providing services, including access to University and College facilities and alumni email accounts
  • Sending you tailored proposals, appeals and requests for donations
  • Sending you details of volunteering opportunities
  • Inviting you to alumni and other University events
  • The promotion of other opportunities and services available to you for example offers and opportunities available through the University's network of Alumni.
  • Research to improve our understanding of our alumni to inform our engagement strategies.
  • Internal record keeping, including the management of any feedback or complaints.
  • Administrative purposes.

3. How we communicate to you.

We may send communications to you by post, telephone or electronic means (principally by email), depending on the contact details we hold, the consent that you have provided, and the preferences expressed by you about the types of communications you wish to receive.

We will always respect a request by you to stop processing your personal data as qualified by your statutory rights.

4. When we share your data with our partners

We share data on a considered and confidential basis, where appropriate, with:

  • Affiliated organisations and individuals which support and provide services to alumni
  • Third parties engaged by the University to provide fundraising related services.
  • Selected businesses who provide University-branded products and marketing services.
  • Zetech University endowment fund if we believe you may be interested in supporting their activities.

5. How we protect your data

  • We ensure we have appropriate data sharing agreements in place before sharing your personal data.
  • We may facilitate communication between individual alumni, but in doing so we do not release personal contact details without your prior permission.
  • Any transfers of your data outside Kenya will be protected by relevant standard contractual clauses (which give obligations for the recipient to safeguard the data).

6. Your Rights

  • Ask us for access to, or rectification or erasure of your data.
  • Restrict processing where applicable.
  • Object to communications or direct marketing.
  • Ask for the transfer of your data electronically to a third party.

Note: Many of these rights are qualified in various ways.

7. Legal basis for processing your personal information

  • The legal basis for processing your personal data for the interdependent purposes set out above is that it is necessary for the pursuit of Zetech University legitimate interests.
  • We always handle your personal data securely and minimise its use, and there is no overriding prejudice to you by using your personal information for these purposes.

8. Data retention

  • We will retain your data indefinitely in support of your lifelong relationship with the University or until you request us to do otherwise.
  • Where you exercise your right to erasure, we will continue to maintain a core set of personal data. For example, name, Course results, graduation details, admission number and date of birth to ensure we maintain your academic record for archive purposes.
  • Retain some financial records about you for statutory purposes and accounting matters.

11. Data Controller

Zetech University is the Data Controller and is registered by the Office of the Data Protection Commissioner identification 338-631A-5B45; To collect, store and process data in accordance with the legal obligations under the Data Protection Act 2019.

12. Changes to this statement.

The data privacy statement is reviewed annually and updated if necessary. We will publish any changes we make and notify you by other communication channels where appropriate. This data privacy statement takes effect from May 2023.
