1. How we use your personal information - job applicants
    This privacy statement provides information on how we use and store the personal data of the people who apply for jobs with Zetech University.
    What is ‘personal information’? ‘Personal information’ means any information which relates to or identifies you as an individual.
  2. What personal information will be processed?
    • The University will use the details you provide on your application form, together with the supporting documents requested and additional details provided by any referees and recorded following any interview process.
    • The University will use additional recruitment checks or procedures as part of the job application and offer process - we will only use any information gathered as part of any relevant check or procedure for that specific purpose.
  3. Legal basis of the processing
    • The University will process the personal information provided on your application for the purposes of identifying you, processing your application, verifying the information provided and assessing your suitability for the role.
    • Use the information provided for the University to decide whether to offer you a job, and communicating that outcome.
    • Use the information to create a contractual relationship with you.
    • Perform applicant screening and background checks.
    • If your application is successful we will use the information to create an employment record of you on our system to facilitate continuous monitoring during your employment with us.
    • If you are a current employee, then we may use the information you provide in any application you submit to update the employment records we already hold on you.
    • Where processing is necessary for the purposes of legitimate business interests pursued by Zetech University or by a third party within the confines of the law.
    • For the establishment, exercise or defense of a legal claim.
    • With your consent.
    • Public interest.
    • To protect your vital interest or the vital interests of any person.

      We may also use the information provided for the following statutory purposes:

    • To prevent or detect fraud.
    • For equal opportunities monitoring.
    • To help us to make reasonable adjustments for any disability if applicable.
    • To provide statutory returns required by applicable legislation.
    • For research and statistical purposes. 
  4. Who will my personal information be shared with?
    • We will circulate your application and related materials to the appropriate staff at the University for purposes of carrying out the job interview.
    • we will share your personal information as relevant and necessary with; Your referees, where relevant and necessary, any educational institutions you may become connected to, companies or organisations providing specific services to, or on behalf of, the University.
  5. Sensitive (Special Categories) Data
    We may collect Special Categories of Personal Data about you for example; details about your race, health status, ethnic social origin, conscience, belief, genetic data, biometric data, property details, marital status, family details including details of your children, parents, spouse or spouses, sex or sexual orientation and biometric data. We will rely on any of the legal basis provided in clause 3 above such collection.
  6. How is my personal information used if I become a member of staff?
    • If you are accepted, we will use your personal information as described in the employee data protection privacy statement published on the University Website.
    • If you are accepted, the University will also return data about you where necessary to relevant government bodies and agencies related to higher education sector.
    • In cases where you attend an event sponsored by the University, we will be taking photos or videos of the event. These images or videos will be used by the University to share news about the event, and may be used in press releases, printed publicly, and published on our website and other social media platforms owned by the University.
  7. Access to your personal information
    • You have the right to access the personal information that is held about you by the University.
    • You also have the right to ask us to correct any inaccurate personal information we hold about you, to delete personal information, or otherwise restrict our processing, or to object to processing.
      Note: Please note that all of these rights are qualified in various ways.
  8. Retention of your information
    • We store your personal information for as long as necessary to complete the application process.
    • If you are successful, your information will be kept as part of your staff record for the duration of your employment.
    • If you are unsuccessful, your information will be normally kept for one year after the completion of the application process, thereafter safely purged from the University systems.

  12. Changes to this statement.
    The data privacy statement is reviewed annually and updated if necessary. We will publish any changes we make and notify you by other communication channels where appropriate. This data privacy statement takes effect from May 2023.
